Which email accounts do I have?

Most faculty and some grad students currently have two email mailboxes: A <username>@oregonstate.edu and a <FirstName>.<LastName>@oregonstate.edu
The First.last@oregonstate.edu is a Microsoft Exchange email account.  It can be accessed by going to exmail.oregonstate.edu and can be added to most email clients.
The username@oregonstate.edu is either an imap account or a Google account.  Google accounts mailboxes can be accessed by going to mail.google.com and logging in using username@oregonstate.edu.  This should redirect you to the normal OSU sign-in page.  If you get a message saying that this service is not enabled for your account then you likely have an imap mailbox instead.
IMAP mailboxes can be accessed by going to webmail.cosine.oregonstate.edu.

In addition to those two mailboxes, you may also have aliases to those mailboxes.  This usually looks something like: <username>@math.oregonstate.edu or <username>@geo.oregonstate.edu  These aren't sepperate mailboxes, rather any mail sent to them is automatically forwarded on to your <username>@oregonstate.edu.

Android - Gmail App: Exchange Account

  1. Open Gmail and click the hamburger menu:
    From Gmail, open the hamburger menu
  2. Scroll to the bottom and tap settings:
    At the bottom, open settings
  3. Open the settings for your Oregon State Exchange email address:
    Open the settings for your Oregon State Exchange Email account
  4. Scroll to the bottom of the page and open "Incoming settings" under "Server settings":

  5. Update the password to be your new ONID password and tap Done:

  6. Refresh your inbox and make sure that it is up to date.  If you have any issues then give us a call or stop by our helpdesk.

Android - Outlook App: Exchange Account

  1. Open the Outlook App and open the cheese burger menu:
    Open outlook and click the hamburger menu
  2. Click the gear icon to open Outlook's settings:
    Click the gear to open Outlook's settings
  3. Open your Oregon State Exchange account's email settings:
    Open your Oregon State Exchange email account's settings
  4. Scroll down to the bottom and click "Change Server Settings":
    Scroll down to the bottom and click "Change Server Settings"
  5. Update the password to your new ONID password and then click the check mark in the upper right hand corner:

  6. Refresh your email and make sure that it's up to date.  If you have any issues, then give us a call or stop by our helpdesk.

Android - Gmail App: IMAP Account

  1. Open the Gmail App and tap the hamburger menu:

    Tap your Oregon State IMAP Account
  4. Open the incoming settings:
    Open Incoming Settings
  5. Update your incoming password to your new ONID password, then tap Done:

  6. Open the Outgoing Settings:

  7. Update your Outgoing password to your new ONID password, then tap Done:

  8. Go back and refresh your inbox.  Also send yourself an email.  If you have trouble with either of these or any of the previous instructions then give us a call or stop by our helpdesk.

iOS - Mail App - Exchange Account

  1. Open Settings:
    Open Settings
  2. Go to email settings:
    Switch to the Mail settings tab
  3. Open your accounts settings:
    Open your exchange account
  4.  Open your account's settings:
    Open your exchange email account
  5. Change your password and click done:
    Change your password and click done
  6. Refresh your email and ensure that it is up to date.  If you have any issues then give us a call or stop by our helpdesk.

iOS - Mail App - IMAP Account

  1. Open the settings app:
    Open Settings
  2. Go to the email section and open your IMAP account's settings:
    Open email settings and then click on your IMAP account
  3. Set the incomming mail server password to your new ONID password.  Then go to SMTP settings:
    Edit your IMAP password then click SMTP settings
  4. Click the primary SMTP server:
    Click the Oregon State SMTP server
  5. Edit your SMTP password to be your new ONID password then click done:

  6. Refresh your email and ensure that it is up to date.  If you have any trouble then call or stop by our helpdesk.

MacOS - Apple Mail: IMAP Account

  1. Open Mac Mail
    Open Mac Mail
  2. Open Preferences under the Mail menu
  3. In the accounts tab, change your IMAP server password
  4. Select the outgoing Mail server and then click "edit SMTP server list"


  5. Edit your SMTP server password
  6. Close all those windows and refresh your inbox
    Click Get Mail

MacOS - Apple Mail: Exchange Account

  1. Open Mac Mail:
    You may get a message asking for you password.  This should change the password in all the required locations for exchange, however that's not the case for an IMAP Account.
  2. Click on Mail, then Preferences:

  3. Open Server Settings and edit the password field:
  4. Hit Save, then close the menu. From your inbox click Mailbox > Synchronize "Exchange"
  5. Check your email and you should be all set:

MacOS - Outlook: IMAP Account

  1. Open Outlook
  2. Open Outlook's Preferences:
    Open Preferences
  3. Go to accounts:
    Go to Accounts
  4. Edit your SMTP password:
    Edit your SMTP password
  5. Click more options under the outgoing server settings:
    Open advance outgoing server options
  6. You most likely can use your SMTP (or Incoming) Server settings for your outgoing username and password, however if that's not how your account was setup then update your outgoing server password to match your new ONID password:

  7. Refresh your inbox and make sure that it is up to date.  Send yourself and email and make sure that you get it (This checks your outgoing server settings).  If you any assistance, then give us a

Windows - Outlook: IMAP Account

  1. Open Outlook and click the File tab:
    Open outlook and click File
  2. Open Account Settings in the Info section:
    Change your IMAP Account
  3. Select your IMAP account and click Change:
  4. In the new window, update your incoming password to your new ONID password, then click "More Settings":
    Update your incoming password and then click more settings
  5. For Oregon State email accounts you can usually use the "Use same settings as my incoming mail server" option however if you have a username and password set, then update the password to your new ONID password:

  6. Click OK in this dialog and then Next in the Change Account window.  You should get a dialog where Outlook will test your settings:

  7. When it finishes and you click close you should get a message like this:

  8. Go back to your inbox and refresh it to make sure that it's up to date.  Also send yourself a test message to make sure that your outgoing settings are functional.  If you have any trouble or encounter something other than what's shown here, then give us a call or stop by our helpdesk.

MacOS & Windows - Thunderbird: IMAP Account

  1. Open Thunderbird:
    Open Thunderbird
  2. Open Thunderegg's preferences:
    Open Preferences
  3. Go to Security > Passwords, then click "Saved Passwords":
    Security > Preferences and click on Saved Passwords
  4. Remove the passwords associated with your Oregon State email account (there should be an IMAP password and an SMTP password):
    Delete your IMAP account's passwords
  5. When Lightningegg gives you a confirmation dialog, click "Yes":

  6. Back in Stormchicken, click "Get Messages":

  7. Thunderfox should prompt you to enter your IMAP server password.  Enter your ONID password and check the box to let Password Manager remember your password:

  8. Click write and send yourself a test message:

  9. Stormduck should give you a dialog asking for your SMTP password.  Enter your ONID password, check the box to let Password Manager remember your password, and click "OK":
